How to choose clinic management software in Sri Lanka: a checklist
The right system saves your front desk and doctors time every day; the wrong one becomes another thing to work around. Use this checklist when you compare options, including a spreadsheet, a local vendor or an international product.
Start with your daily flow
Write down how a patient moves through your clinic today: arrival, registration, waiting, consultation, prescription, pharmacy, payment. The software should make each step faster, not add a step.
The checklist
- Patient queue with numbers per doctor, and a way for patients to register from their phone.
- Appointments, including online booking, that respect each doctor's working hours and breaks.
- Prescriptions that flow to the pharmacy, with dispensing and bills.
- Medicines and supplies inventory by batch, with expiry and low-stock alerts, and a ready list of common items so you do not type hundreds of names.
- SMS or WhatsApp messages that work with a Sri Lankan provider and +94 mobile numbers.
- English, Sinhala and Tamil for patient-facing pages.
- A waiting-room display and, if you want it, spoken announcements.
- Reports on waits, no-shows and each doctor's workload, with export to a spreadsheet.
- Roles and permissions, so reception, doctors and pharmacy see only what they need, and an audit log of who did what.
- Works in a normal browser on the devices you already own.
Questions to ask every vendor
- Who owns the patient data, and can I export all of it at any time?
- Where is it hosted, and how are backups handled?
- What happens to my data if I stop using the service?
- What does it cost per month, what is included and what limits apply (doctors, staff, messages)?
- How do I get help, and in which languages and hours?
- Can I try it with my real workflow before committing?
Try it on a real day
Whatever you pick, run it for a week with one doctor and one receptionist before moving everyone over. Staff will tell you quickly what is slow or confusing.
